  • Review PSA missing signatures/initials and/or addenda and secure missing initials/documents
  • Create summary timeline sheet for sending to buyer 
  • Send intro email to buyer as TC for broker with reminder of what to do and not to do 
  • Send intro email to escrow and listing agent, with copy of contract and timeline  
  • Coordinate earnest money deposit with buyer and escrow 
  • Request Resale Certificate from listing agent and send to buyer/broker (condo)
  • Remind buyer/broker of deadline for Resale Certificate review (condo)
  • Request prelim report and send copy to buyer and broker once available
  • Coordinate inspection with inspector and listing agent 
  • Remind broker of upcoming contingencies prior to and on day of deadline 
  • Follow up appraisal with lender and communicate with appraiser until report is submitted and outstanding issue(s) resolved
  • Update listing agent on appraisal status 
  • Monitor loan status until file is cleared to close and Closing Disclosures are acknowledged by buyer
  • Keep buyer (and if appropriate listing agent) informed of loan status 
  • Follow up with listing agent on the status of any repairs per 35R/Addendum or appraisal report 
  • Follow up with title on title status 
  • Draft addenda and manage the signature process with parties involved in the transaction
  • Remind broker of any plan for walkthrough prior to signing or closing 
  • Remind buyer of upcoming signing with reminder of any travel plans before closing date 
  • Create and send Commission Disbursement to escrow  
  • Secure copy of estimated settlement statement prior to signing and send to broker 
  • Monitor signing appointments for all parties by escrow 
  • Monitor release of file to record and when recording #s become available 
  • Send congratulatory email to buyer with reminder on contacting utilities to set up new account 
  • Update file status on Paperless Pipeline and upload required documents 
  • Confirm with escrow if checks have been disbursed and sent and get tracking #

  • Prepare listing forms per available info from Realist or MLS, if available 
  • Complete listing forms per info supplied by the broker. Note: Broker is responsible for marketing remarks 
  • Send listing forms for seller's signature after review and approval by listing broker
  • Order trio and prelim report from broker's preferred title company 
  • Order yard sign on date specified by listing broker (additional cost if marking sign location)
  • Complete listing info on Paperless Pipeline and upload listing documents 
  • Prepare flyers on a broker-approved template. Broker will supply flyer template 
  • Upload offer instruction sheet  
  • Send congratulatory email to seller once listing is active on MLS along with links to advertising for seller approval
  • Send weekly report to seller based on showing history and reviews, if any 
  • If there are multiple offers, create an offer summary sheet to present to seller
  • Order Resale Certificate (condo) - upon broker’s approval
